Privacy Policy

Nexora Systems Inc. operates this website. We are responsible for the personal information under our control, including information handled by service providers acting on our behalf.

We collect only what you give us and what a web server necessarily records.

Information you submit

When you send a quote, parts or catalog request, we collect your name, company, work email address, and optionally your phone number, country, product or catalog of interest, model and part numbers, application details and your message.

Information collected automatically

Our hosting provider records standard server logs: IP address, browser user agent, the page requested and the time of the request. These logs exist to keep the site running and secure. We do not use them to build a profile of you.

What we do not collect

We do not ask for payment details, we do not run advertising or cross-site tracking technology, and we do not buy contact lists.

We use the information you submit to:

• answer your question and prepare a quotation or parts order;
• confirm the configuration of a system with an application engineer;
• send you the catalog or documentation you asked for;
• keep a record of the enquiry for warranty, service and audit purposes; and
• send you occasional product and catalog updates, but only if you have separately opted in.

We do not use your information for any other purpose without asking you first.

Submitting the request form is your consent for us to use the details in it to respond to you. That consent is limited to your enquiry.

Marketing email is separate. The request form has its own unticked box for it, and leaving it unticked has no effect on your enquiry. You can withdraw either consent at any time by writing to info@servith.com. Withdrawing consent does not affect anything we did while the consent was valid, and we may still need to keep records of a completed transaction.

Canada's Anti-Spam Legislation governs the commercial electronic messages we send. Our practice is as follows.

• Express consent. We send marketing email only to people who ticked the marketing box on our form or opted in another documented way. We keep a record of when and how that consent was given.
• Implied consent. If you send us an enquiry, or if we have an existing business relationship, we may reply and follow up on that enquiry under the implied consent CASL allows, within the time limits it sets.
• Identification. Every commercial message we send identifies Nexora Systems Inc., gives our mailing address at 25 Viking Ln, Etobicoke, Ontario, M9B 0A1, Canada, and gives a phone number and email address that reach us.
• Unsubscribe. Every commercial message carries a working unsubscribe link. It stays valid for at least 60 days after the message is sent, and we action unsubscribes within 10 business days. You can also unsubscribe by writing to info@servith.com.

Transactional messages, such as a quotation, an order confirmation or a service notice, are not marketing and are sent regardless of your marketing preference.

This site sets no advertising or analytics cookies, and we do not use a tracking pixel. Fonts are served from our own domain, so loading a page does not call out to a third party.

There are two exceptions, both of them on a single page.

The location map on the contact page is a Google Maps embed, so when you open that page your browser contacts Google directly, and Google may set cookies and see your IP address. We receive nothing from that request ourselves. Google's handling of that data is governed by Google's own privacy policy.

The request form is protected by Cloudflare Turnstile, a check that tells a person from an automated script without asking you to solve a puzzle. Your browser loads it from Cloudflare, which sees your IP address and browser and may store a short-lived token so the check does not have to repeat itself. It exists to keep spam off the form; Cloudflare's handling of that data is governed by Cloudflare's own privacy policy.

We do not sell, rent or trade personal information. We disclose it only:

• to service providers who process it on our behalf, such as our website host, the provider that delivers the resulting email, and any system that routes form submissions to our sales desk, under contracts that limit them to that purpose;
• to a regional representative, such as our Mexico and Latin America office, when your enquiry is in their territory; and
• where the law requires it.

Some of these providers store data outside Canada, including in the United States. While it is there, it is subject to the laws of that country, and may be accessible to that country's courts and authorities.

Enquiries that do not lead to an order are kept only as long as they are useful for follow-up, and reviewed periodically. Records tied to a quotation, an order or equipment we have supplied are kept for 7 years after the last transaction, so that we can support the machine and meet tax and warranty obligations. Records of marketing consent are kept for as long as the consent is relied on, plus the period CASL requires.

The site is served over HTTPS. Access to enquiry records is limited to the staff who need it to do their job. Our providers are chosen on their security practices as well as their function. No system is perfectly secure, so if a breach creates a real risk of significant harm, we will notify affected individuals and the Privacy Commissioner as PIPEDA requires.

You can ask us to:

• tell you what personal information we hold about you and how we have used it;
• correct anything that is wrong or out of date;
• delete information we no longer need to keep; and
• stop sending you marketing email.

Write to our Privacy Officer at info@servith.com or at the postal address in section 1. We respond within 30 days. We may need to verify who you are before releasing information.

If you are not satisfied with how we handled your personal information, tell us first so we have a chance to fix it. If you are still not satisfied, you can complain to the Office of the Privacy Commissioner of Canada at 1-800-282-1376.

We update this policy when our practices change. The effective date at the top of the page tells you which version you are reading. Material changes will be flagged on the site, and where the change affects how we use information you already gave us, we will ask for your consent again.
